A specialist UK property finance and mortgage brokerage is looking for a reliable, highly organised and detail-oriented Paraplanner to support senior brokers with the administration and progression of live cases.

This is a non-sales, non-advisory role, focused on case management, documentation, communication and ensuring mortgage and property finance transactions progress smoothly from application through to completion.

The successful candidate will be proactive, methodical and confident managing multiple cases, following up on outstanding information and ensuring deadlines are met.

Key Responsibilities:

  • Case & Deal Administration
  • Manage cases from application through to completion.
  • Transfer and maintain accurate data across emails, CRM systems, spreadsheets and lender portals.
  • Prepare and update case notes, timelines and deal trackers.
  • Ensure documents are correctly named, saved, filed and version-controlled.

Client & Third-Party Communication:

  • Request and chase outstanding client documentation, including identification, bank statements, proof of income and application forms.
  • Liaise with lenders, underwriters, valuers, solicitors, estate agents and brokers.
  • Draft clear, professional follow-up emails in line with broker instructions.
    Keep clients informed of progress and next steps where required.

Application & Packaging Support:

  • Assist with preparing lender application packs.
  • Upload and manage documents across lender portals and internal systems.
  • Check applications for accuracy, completeness and readiness before submission.
  • Record key milestones, including valuation dates, mortgage offers, outstanding conditions, expiry dates and completion targets.

Pipeline & Deadline Management:

  • Maintain an up-to-date pipeline of live cases.
  • Monitor progress and proactively flag delays, missing information or potential risks.
  • Track outstanding actions and follow up on overdue tasks.
  • Ensure all cases continue to progress and nothing is overlooked.


Compliance & File Management:

  • Maintain accurate, well-organised client files.
  • Follow internal policies, procedures and GDPR requirements.
  • Support brokers with compliance checks and audit-ready documentation.
  • Ensure all records are complete, clear and up to date.

General Broker Support:

  • Assist with inbox and email organisation.
  • Provide diary support and help prioritise tasks.
  • Carry out basic deal research and information gathering.
  • Provide general administrative support to brokers and management.


About You:
The ideal candidate will be organised, dependable and detail-focused, with experience in the UK mortgage market and the ability to manage a busy workload effectively.

Essential Requirements:

  • At least one year of experience sourcing and managing cases within the UK mortgage market.
  • Strong written and spoken English.
  • Excellent organisational skills and attention to detail.
  • Confident chasing outstanding information politely and persistently.
  • Able to follow instructions accurately and consistently.
  • Comfortable managing multiple cases and deadlines simultaneously.
  • Proficient in Outlook, Excel, Word and equivalent Google Workspace tools.
  • Confident working with PDFs, document management systems and digital records.


Desirable Experience:

  • Experience using CRM systems, deal pipelines and lender portals.
  • Familiarity with OMS or similar mortgage case management systems.
  • Working Environment
  • Hybrid working, with the office based in Fleet, Hampshire.
  • Monday to Friday, 9:00am–6:00pm UK time.
  • Task-based working environment with clear processes and expectations.
  • Direct daily communication with senior brokers.
